The Project Assistant (PA) is an essential part of our team, providing the structure and support that keep projects moving. Working closely with Project Managers, the PA ensures smooth, high-quality, on-time deliverables by managing details, solving problems, and juggling multiple tasks at once. This role requires someone who is highly organized, adaptable, and able to anticipate needs before they arise. While some tasks may be straightforward such as taking notes, managing files, or tracking timelines, others involve deeper problem-solving, business analytics, and preparing key data that helps drive decision-making.

Position Responsibilities:
Support the Project Management team by:
- Managing team meeting agendas and minutes
- Consolidating information from various Culver stakeholders in support of process improvement, operational projects, and more
- Supporting communication and scheduling
- Performing additional tasks as needed
Other PM Team support responsibilities:
- Project setup, including project database setup, project scope documents, workspaces, and resource requests and assignments.
- Project list development and workflow.
- Email campaign management.
- Planning Meeting notes.
- Review and file postage reports.
- Review proofs of direct mail, emails, websites, etc.
- Collect project summary data and draft project reports.
- Create weekly program performance dashboard.
- Support communication and scheduling.
- Update the Project Manager Handbook and relevant templates/guides as needed.
- Consolidate information from various Culver stakeholders in support of process improvement, operational projects, and more.
- Maintain digital filing system and customer reporting sites.
- Manage multiple projects and shifting priorities, ensuring deadlines are met while maintaining high attention to detail.
- Proactively identify inefficiencies or gaps in processes and recommend solutions to improve workflow and project execution.
- Perform additional tasks as needed.
Minimum Eligibility Criteria
- High school diploma required; bachelor's degree preferred.
- At least 3 years of general administrative office experience in a fast-paced environment; remote experience preferred.
- At least 2 years of experience supporting multiple projects and people with a strong ability to balance shifting priorities.
- Tech-savvy mindset with a willingness to learn new systems quickly; prior database experience is not required but preferred.
- Intermediate-level skills in Microsoft Office Suite (Excel, PowerPoint, Word, and Outlook) - Excel proficiency is especially important, including experience with complex functions.
- At least 1 year of experience working with collaborative software; SharePoint preferred.
- Experience with project management software is a plus, but adaptability to new technology is more important.
- Highly independent work style, able to self-manage and take initiative without requiring hand-holding.
- Strong interpersonal skills, tact, and diplomacy to effectively collaborate with internal and external clients.
- Excellent communication skills, with a focus on responsiveness and professionalism in a remote work setting.
