What’s the role?
Etsy is looking for a forward thinking, inventive, and reliable Executive Assistant to provide executive level support for our Chief Marketing Officer and their organization. This role requires a proactive individual with a deep understanding of organizational operations and priorities. The Executive Assistant will manage complex schedules, coordinate events, and handle various administrative tasks with minimal supervision.
This is a full-time position reporting to the Chief Marketing Officer. In addition to salary, you will also be eligible for an equity package, an annual performance bonus, and our competitive benefits that support you and your family as part of your total rewards package at Etsy.
This role requires your presence in Etsy’s Brooklyn Office once or twice per week depending on your proximity to the office. What does the day-to-day look like?
- Manage the daily, weekly, monthly, quarterly and annual rhythm of the Executive’s schedule to help them achieve their business objectives and keep their team engaged in an efficient manner. This includes brokering directly with partners to schedule and sequence meetings, determine attendees, timing, length, and supporting agendas and materials without direct supervision.
- Assist the Executive with note taking and tracking follow-ups without direct supervision.
- Schedule and help prepare large meetings and events sponsored by the Executive, including all hands, rehearsals, on-sites, off-sites, and recognition moments. This includes project managing event logistics and stakeholders, drafting reminder and recap messages, and preparing slides.
- In partnership with Etsy’s Workplace and Strategy & Operations teams, play a key role in planning the Executive’s org-wide gatherings, leadership on-sites and off-sites.
- In partnership with the Strategy & Operations team, develop and manage the Org’s annual business calendar and key meeting cadences.
- Manage the Executive’s contracts, payments, etc., using tools such as Navan, Coupa, Workday.
- Track and manage the executive's travel and entertainment (T&E) budget with a certain level of discretionary spending.
- Maintain key email aliases and Slack channels used by the Executive to communicate to their leadership team and broader employee base.
- Source and/or draft simple communications on behalf of the Executive, tied to important events in the Org’s calendar.
- Oversee presentation making for large org meetings or events, ensuring content is planned and delivered on time by key contributors. During these events, manage timings, presenter transitions, recordings, and Q&A, as examples.

Qualities that will help you thrive in this role are:
- 5-7 years experience as an Executive Assistant for C-level executive is a must.
- A demonstrated command of how to setup and manage an efficient organizational meeting cadence at a scale of at least 200 employees.
- Strong organizational, project management and time management skills.
- Google Workspace, Slack, and project management tools like Monday.com, Trello, Asana or JIRA.
- Background using Navan, Coupa, Workday are a plus.
- Ability to lead small projects and coordinate with various internal partners.
- Excellent collaboration and oral and written communication skills
- Ability to work independently and anticipate the Executives needs without prompting.
- Experience in managing budgets, contracts, and handling discretionary spending.
- Exercise good judgment in a variety of situations within a dynamic environment.
- Ability to remain calm and be flexible to changing priorities.
- Ability to intuitively understand and anticipate the needs of an executive.
