As a Virtual Assistant to our CEO, you will provide critical administrative and operational support, working 4 to 6 hours per day. Ideally, your schedule will overlap with at least part of his workday (8 AM – 5 PM CST) to ensure seamless communication and task execution.
What a Typical Day Might Look Like:
Your day could start with writing an article in ChatGPT based on provided ideas, then publishing it on a WordPress blog and sharing it on LinkedIn. You might then shift to managing emails and calendar invites, ensuring smooth scheduling and prompt follow-ups. Later, you could work on organizing meeting transcripts into Folk App, researching prospects for outreach, and sending out an email newsletter.
With AI and automation, many tasks are replicable—so you will be provided with Standard Operating Procedures (SOPs) to help execute these activities efficiently using ChatGPT, Claude, and other tools.
Key Responsibilities:
• Manage and organize email communications, ensuring timely responses and follow-ups.
• Conduct research on potential leads and prospects to support client acquisition.
• Use Folk App to manage contacts and integrate data into HubSpot for email newsletters. .
• Collaborate in ChatGPT workspaces and use Evernote for note-taking and task management.
• Take detailed meeting notes and archive them appropriately.
• Create and edit videos using Descript (especially for podcasts) and design assets using Canva.
• Write and publish articles, share them on LinkedIn, and manage content updates on WordPress.
• Assist with email newsletters and outreach campaigns.
What We’re Looking For:
Experience with all these platforms is not required—if you’re proficient in Microsoft Office, comfortable using Canva, and can leverage ChatGPT for research and writing, we can teach you the rest.
