We are seeking a detail-oriented and reliable Operations Support Specialist to assist with daily order processing, customer support, and administrative tasks across multiple businesses.
The primary focus will be on supporting wholesale operations for Galaxy Groves LLC, a fast-growing THCA flower distribution company based in the US.
You will work closely with our lead operations manager, Rose, as well as the business owner and project manager, to ensure smooth day-to-day operations and help build systems to support business growth.
Key Responsibilities:
Customer Communication: Manage Telegram inquiries from wholesale customers (B2B), responding quickly and professionally.
Order Processing: Create and manage orders in Shopify, ensuring order details are accurate and updated.
Invoicing: Generate invoices in Google Sheets and send to customers.
Shipping Labels: Create UPS shipping labels and coordinate with vendors for fulfillment.
Purchase Orders: Prepare POs for vendors based on incoming wholesale orders.
Administrative Support: Assist the owner and project manager with various administrative and data entry tasks across multiple businesses.
Inventory Updates: Track product availability and assist in updating inventory sheets when needed.
Skills & Requirements:
Proven experience in order processing, customer support, or e-commerce operations.
Proficiency in Shopify, Google Sheets, and shipping platforms (e.g., UPS.com) is preferred, but willingness to learn quickly is required.
Comfortable using Telegram for customer communication.
Strong organizational skills and attention to detail.
Fluent in English (written and verbal).
Reliable, self-motivated, and capable of working independently.
Based in the Philippines preferred (due to overlapping time zones and familiarity with remote work culture).
Work Hours:
Full-time (40 hours per week), with core work hours aligned to US business hours (Eastern Standard Time).
Some flexibility, but you must be available during the workday to communicate with the team and process orders as they come in.
