Position Overview
The Systems Coordinator - Employee Benefits is responsible for managing and maintaining the technological systems that support employee benefits programs. This role involves collaborating with HR, IT, and external vendors to ensure accurate data flow, system configuration, and troubleshooting. The Systems Coordinator will oversee system updates, integrations, and ensure compliance with legal and company standards related to benefits administration.
Key Responsibilities
- System Management and Maintenance:
- Oversee day-to-day operations of employee benefits systems, ensuring seamless data integration between various platforms.
- Troubleshoot and resolve any technical issues related to benefits enrollment, processing, and reporting.
- Perform system updates, testing, and quality assurance to ensure accurate and efficient system functionality.
- Data Integrity and Reporting:
- Ensure the accuracy and integrity of employee benefits data, reviewing and validating records, reports, and transactions.
- Generate and analyze regular benefits reports for HR and management, identifying trends and areas for improvement.
- Assist in the preparation of benefits data for annual audits, regulatory compliance, and company reviews.
- Collaboration and Training:
- Work closely with the HR team to ensure benefits programs are accurately represented and administered in the system.
- Coordinate with IT and third-party vendors to integrate new benefits offerings or modify existing systems.
- Provide training and support to HR staff and employees on benefits-related system use and self-service tools.
- Compliance and Documentation:
- Monitor system processes for compliance with federal, state, and local regulations regarding employee benefits.
- Assist in the development and updating of system procedures and documentation to ensure adherence to legal requirements.
- Process Improvement:
- Identify areas for improvement in benefits systems and processes, recommending and implementing solutions for increased efficiency.
- Stay updated on industry trends and best practices for benefits administration and system technologies.
Qualifications
- Bachelor’s degree in Business, HR, Information Systems, or related field.
- Proven experience in employee benefits administration and systems coordination.
- Strong technical proficiency with benefits management software (e.g., ADP, Workday, SAP).
- Experience with data analysis, reporting, and troubleshooting in an HRIS environment.
- Knowledge of federal and state regulations related to employee benefits (e.g., ACA, FMLA, ERISA).
- Excellent problem-solving, organizational, and communication skills.
- Ability to work independently and as part of a team, managing multiple priorities in a fast-paced environment.
Preferred Skills
- Experience with system implementations or upgrades.
- Project management experience.
- Familiarity with benefits enrollment platforms and online tools.
